Privacy Policy

How HS Companion Pro handles information in the app, through optional connected services and when you contact us. Last updated 26 July 2026.

Who this policy covers

This policy applies to the HS Companion Pro iPad app and its support services. HS Companion Pro is developed and supported by David Valins, trading through HS Knowledge Exchange in the United Kingdom.

Information stored on your device

Core health and safety records are stored locally on your device. These may include risk assessments, inspections, incidents, corrective actions, training records, competency information, names, signatures, photographs and other information you choose to enter.

We do not operate a central HS Companion Pro account service that receives your core records. You control the content you enter and are responsible for ensuring that you have a lawful basis to record personal information about other people.

Optional Microsoft 365 connections

Premium and Pro features may let you connect services such as OneDrive, SharePoint and email using a Microsoft account selected by you or your organisation. When you enable these features, the app transfers the records or reports you select to that Microsoft environment.

Your organisation’s Microsoft 365 settings, policies and administrators may control how connected information is stored, accessed, retained and shared. Microsoft’s privacy terms also apply. HS Companion Pro does not ask you to send Microsoft passwords to us.

Subscriptions and App Store information

Purchases and subscriptions are processed by Apple. We do not receive your full payment card details. Apple may provide transaction status and other information needed to confirm access to Premium or Pro features, subject to Apple’s privacy policy and your Apple Account settings.

Support communications

If you contact support, we receive the contact details and information you choose to include in your message. We use it to respond, investigate problems, prevent misuse and improve the app. Please do not send sensitive records, Microsoft credentials or information that is not needed to resolve your request.

Advertising and tracking

HS Companion Pro does not use third-party advertising and is not designed to track you across apps or websites for advertising purposes.

Retention, deletion and your choices

You can edit or delete locally stored records using the app. Deleting the app may remove local records, so export or back up anything you need first. Information sent to Microsoft 365 must be managed in the connected Microsoft environment. Support correspondence is retained only as long as reasonably needed to handle the request, meet legal obligations and maintain service records.

Security

The app offers local profile protection using Face ID, Touch ID or a passcode where available. No system can guarantee absolute security. Protect your device, use appropriate access controls and follow your organisation’s policies for health and safety records and personal information.

Children

HS Companion Pro is a workplace health and safety tool and is not directed to children.

Changes to this policy

We may update this policy when the app, connected services or legal requirements change. The latest version will be published on this page with an updated date.
